Vacancy: Office Clerk (Sector: Administration/General Affairs)

The Office Clerk will support the smooth functioning of the organisation. This includes:
i.      liaison with suppliers/operators directed by the Mission’s diplomates and
ii.     support for the Mission’s website and social networking
iii.    administrative and paperwork

1.      Description of the post:
  • General affairs / administrative task of the office
  • Assist in the accounting of the office
  • Update the Mission's website, assisting in preparation for diplomatic events.
  • Support for the departure and arrival of diplomats

2.      Skills required (the knowledge of diplomacy is not required):
  • Basic keyboard skills and MS office software.
  • Communication and administrative skills in Japanese and French.
  • Accuracy and meticulousness in documentation and equipment management.
  • Work permit required in Belgium (non-EU citizens)
  • Ability to carry loads up to 10 kg.

 3.      Preferred qualifications:
  • Experience of working in an administrative role
  • Proficiency in English and Dutch
  • Knowledge of local administrative procedures

4.      Working conditions:
  • Salary:Monthly €3,000 tax incl~ (Taking into account the experience. The salary can be increase in line with local legislation).
  • Overtime (in accordance with Belgian legislation)
  • Transport allowance
  • Summer vacation bonus
  • Year-end bonus
  • Various holidays are subject to Belgian law. In addition several Japanese public holidays are also granted.
  • Telework system(1 day/week)
5.      Working hours
 Monday to Friday from 9:30 to 17:30, full time 35h/week (in accordance with Belgian legislation)

6.      Place of work
 At the office of the Mission of Japan in Brussels

7.      Employment contract
 At the end of the fixed-term employment period, a transition to a permanent contract will be discussed depending on the evaluation of the service.

8.      Starting date of this post
 The starting date of this post is after 16 December 2024. The content of duties may change due to the circumstances of the Mission.
