The Mission of Japan to the European Union is seeking a candidate for an office Clerk

The Office Clerk will support the smooth functioning of the Organisation including assistance for diplomats arriving in and departing from Belgium.
 
1) Description of the post
  • General administrative tasks of the office
  • Office accounting duties
  • Official vehicle dispatch management
  • Administrative processing related to construction work for the maintenance, renovation, and repair of Mission buildings
  • Support for the arrival and departure of Mission diplomats
  • Support for the Ambassador’s Residence Chef
  • Other duties as instructed by diplomats 
2) Skills required (the knowledge of diplomacy is not required)
  • Basic keyboard skills and proficiency in MS Office software
  • Communication and administrative skills in Japanese and French
  • Flexible attitude and ability to work in a friendly and cooperative manner within the organisation
  • Valid work permit in Belgium (for non-EU citizens)
  • Ability to lift and carry loads of up to 10 kg
3) Preferred qualifications
  • Experience of working in an administrative role
  • Proficiency in English
  • Knowledge of local administrative procedures
4) Working conditions
  • Gross salary:Monthly €3,200 tax incl approximate. (The amount is negotiable, taking into account the experience. The salary can be increase in line with local legislation).
  • Overtime (in accordance with Belgian legislation)
  • Transport allowance
  • Summer vacation bonus
  • Year-end bonus
  • Various holidays are subject to Belgian law. In addition, several Japanese public holidays are also granted.
  • Telework system (1/week)
5) Working hours
  • Monday to Friday from 9:30 to 17:30,
  • Full-time: 35 hours per week (in accordance with Belgian legislation)
6) Place of work
At the office of the Mission of Japan in Brussels
 
7) Employment contract
At the end of the fixed-term employment period, the possibility of transitioning to a permanent contract will be discussed based on performance evaluation.
 
8) Other
The expected starting date is between March and April 2026.
The scope of duties may change depending on the circumstances of the Mission.
